Job Summary

The Department of Pathology is seeking an Administrative Specialist Associate to provide highly responsible, skilled, and complex administrative support to a group of faculty within the department. This includes providing administrative support to Pathology’s Vice Chair for Academic Affairs.


  • Provide support to faculty for their clinical, research, and administrative duties.

  • Report to the Executive Assistant to the Chair of Pathology

  • Maintain and update calendars daily using Outlook.

  • Coordinate travel arrangements This includes air, hotel, ground transportation, expense reimbursement and Visa applications when necessary.

  • PCard reconciliation

  • Maintain and update faculty M-CV’s and biosketches.

  • Handle other administrative duties on a daily basis – phone, correspondence, mail, schedule meetings, RPPR reports, faculty absence forms, etc.

  • Coordinate the itineraries for the Gyn/Path Fellowship program candidates.

  • Coordinate the Gynecological Consult coverage.

  • Coordinate all new lab employees with UMID, lab keys/building access, computer access, level 1 and 2 passwords. Work with International Center and HR staff to obtain Visa’s, etc. for International hires.

  • Schedule lab meetings for PIs

  • Complete Annual Reports for PIs

  • Assist with manuscript submissions

  • Renew licenses as needed – Medical License, Board of Pharmacy License, Research Controlled Substance License, DEA Registration, Medicare Revalidation

  • Maintain service schedules

  • Maintain CME and MOC credits

  • Other projects as requested

Supervise Pathology Administrative Assistants in BSRB

  • Supervise three Administrative Assistants in BSRB

  • Meet 1:1 with each Assistant regularly – every 2 – 4 weeks - to review projects, progress and personal updates

  • Approve timesheets

  • Complete an annual performance evaluation on each Assistant.

Miscellaneou s

  • Maintain Konica-Minolta copier monthly copy count for first floor in BSRB

  • Update Konica-Minolta ‘copy count’ spreadsheet monthly

  • Order paper and kitchen supplies for first floor in BSRB (every quarter)

  • Assist with sorting the daily mail for first floor in BSRB

  • Maintain printers – order toners and schedule repairs, etc.

  • Coordination of facilities issues for PI labs

  • Approver for 1515 BSRB conference room reservations

  • Maintain and update first floor BSRB bulletin board with current flyers, etc.

Required Qualifications*

  • Bachelor’s degree or equivalent combination of education and experience.

  • Excellent communication and interpersonal skills.

  • Excellent organizational skills and the ability to multitask.

  • Ability to work independently and meet deadlines.

  • Experience with Microsoft Office.

Desired Qualifications*

  • Knowledge of University of Michigan policies, procedures and regulations.

Work Schedule

Monday-Friday, 8:00 a.m.-5:00 p.m.
